Frequently Asked Questions for Exhibitors

How do I apply to exhibit my products/services at the Festival?
Applications for the 2012 Festival are now being accepted.

How many people are expected to attend the Festival?
In 2011, more than 30,000 people attended. In addition to the residents, students, families, educators and business people who attend the event, thousands of people pass through Yonge-Dundas Square on any given day, so be prepared for a lot of traffic. How will the City promote the Festival?
The City promotes the Festival through various means including:

  • advertising in various newspapers including NOW Magazine and community newspapers (i.e. Mirrors, Guardians, City Centre Moment) 
  • City News Releases
  • City of Toronto website

What are the benefits of exhibiting at the Festival?
The Festival offers you an excellent opportunity to promote your green products and services to a large number of interested consumers, and network with other environmentally-conscious individuals and organizations.

What is the exhibitor fee?
The exhibitor fee helps cover the costs of equipment rentals such as tents, tables and chairs. Environmental non-profit organizations are eligible for a discounted fee.

  • For profit businesses:
    $275 + HST (for a 10' x 10" tented booth space)

  • Non-profit organizations, shared booth space:
    $75 + HST (you will share a 10' x 10' booth with another non-profit organization) in a corner location

Successful applicants must submit payment to secure their booth space. Benefits of sharing:

  • Reduced costs
  • Each organization will receive a full size table and two chairs
  • Opportunity to work alongside another great organization

If you are a non-profit organization that requires a full booth space, the full exhibitor fee of $275 + HST will apply. Please contact us to discuss.

Is electricity available?
Please ensure your display functions without electricity. There are a limited number of sites with access to electricity; Only food vendors may have access to electricity.

What will the City provide in terms of set-up?
The City will provide and set up at each exhibit space: one 10' x 10' white tent, one table and two chairs.

As an Exhibitor, what should I bring to the Festival?
Exhibitors should bring:

  • samples of your green products and/or services
  • promotional material and displays
  • food and drink (or purchase from participating food vendors catering the event)
    Please note: The sale of bottled water is not permitted at this event.
  • weather protection: raincoats, umbrellas, sun screen, hat, etc.

Can I sell my products or services at the Festival?
Yes, the sale of products and services is permitted at the event.

When will I know if my application is accepted?
If we receive your application on or before May 18, we will contact you regarding your acceptance by June 1. Others will be notified by mid-June.

Once my application is approved, what will happen next?
We will send you a detailed information package which will include your table number, and instructions related to your load-in/load-out times, parking, and more. You will be required to submit payment to secure your exhibitor space.

What are your expectations of exhibitors given that the Festival strives to be a zero-waste event?
Please make every effort to eliminate and /or reduce your waste at the Festival. You must ensure that you do not produce any excess waste that is not compatible with the City of Toronto's Blue Bin recycling program and Green Bin organics collection. What types of organizations will exhibit at the event?
The Festival attracts a wide range of exhibitors offering environmental products and services, including environmental organizations and City divisions. All kinds of businesses and organizations from large to small are invited to participate. Local food vendors will also be on site offering fresh food.

Is there a fee for the public to attend the Festival?
No, there is no fee to attend the Festival.

What happens if it rains? Will the Festival proceed?
The Festival will proceed rain or shine.
