Toronto Cancer Prevention Coalition Steering Committee
Terms of Reference
|
Mandate:
To support the Toronto Cancer Prevention Coalition (TCPC) in the achievement of its goal * by:
- facilitating collaboration, communication and information sharing among TCPC working groups;
- assisting TCPC working groups in planning and carrying out activities, such as education and training, research, awareness raising, lobbying and advocacy, aimed at fostering the implementation of working group recommendations;
- supporting the development of consultative processes, such as the establishment of an inter-sectoral roundtable, to facilitate the implementation of the TCPC working group recommendations;
- serving as the liaison between the TCPC and external groups and agencies involved in cancer prevention issues;
- assisting with all media communications pertaining to the TCPC;
- ensuring that emerging cancer prevention needs and issues are identified and communicated to the Toronto Board of Health and Toronto City Council;
- providing advice to the Toronto Board of Health/Toronto City
Council on policies, programs and services to address cancer prevention
needs and issues;
- monitoring the implementation of TCPC activities and assessing
the effectiveness of the TCPC in achieving its stated goals and
objectives;
- facilitating fundraising efforts to support the ongoing work of working groups and the Coalition.

Membership
The TCPC Steering Committee will have a minimum of twelve and a maximum of fifteen members, including:
- one Chairperson (to be elected by the TCPC membership);
- one representative from each of the following working groups; alcohol, dietary risk factors, physical activity, sunlight, tobacco, and screening/early detection;
- two representatives from the occupational and environmental risk factors work group;
- two community representatives;
- two Toronto Public Health staff to include the TCPC Coordinator;
- up to two additional members as deemed appropriate by the Steering Committee.
All Steering Committee members must live or work in the City of Toronto. Every effort will be made to ensure accessible and equitable recruitment and selection processes to have members reflecting the demographic diversity of the City, including gender, ethnoracial background, ability and sexual orientation.
Structure/Governance:
The Steering Committee will meet at least six (6) times per year, with additional meetings to be held on an as-needed basis at the discretion of the Chair. The term for Steering Committee members will be two years. The maximum length of term for Steering Committee members is four years (i.e., two successive two year terms).
Steering Committee meetings will be structured around pre-set agendas
developed by the Chair in collaboration with TCPC staff. Agendas and
minutes of previous meetings will be sent to members two weeks in
advance of Steering Committee meetings.
Quorem will consist of 50% plus one of current membership.
Resource Requirements:
The Steering Committee will be supported by Toronto Public Health within the resource base allocated to the TCPC.
Evaluation:
An evaluation of the TCPC to include an assessment of the structure, mandate and length of membership shall take place every two years.
