Managing your subject matter and lobbyist registrations

When to update your subject matter registrations

You must keep your registrations complete, accurate and up-to-date.

  • Each time you communicate with a public office holder, you have three business days to log in to the Registry and update your subject matter. You must declare whom you communicated with, the date of communication  and the communication methods used.
  • If the ending date you proposed for the subject matter changes, you must update it (either because it ended sooner or will continue longer than you indicated).
  • Changes made to your lobbyist registration aren’t automatically carried through to subject matters. For example: A new in-house lobbyist or a new senior officer in the lobbyist registration won’t be added automatically to active subject matters. If you would like them to lobby about an active subject matter, you'd need to add them to each relevant subject matter yourself.

To update your subject matter, log in to the Registry using your user ID and password. Find the subject matter you need to change and click Update. Confirm the information you already entered, making any corrections as needed. To add a public office holder, simply find and click Add Public Office Holder. Follow the prompts to add the public office holder and the methods you used.

If you made a mistake in an update you submitted, you can cancel the change if it is still under review. To cancel the update, click Cancel Version. If the update has been processed, then you’ll need to make another update to correct the mistake.

Please contact us if either of these scenarios occurs:

  • You have an approved subject matter, but no lobbying takes place (please do not close this subject matter).
  • You notice a closed subject matter under your registration that’s incomplete or inaccurate.

When to close your subject matter registrations

When no further lobbying will occur on a subject matter, you should update and close it. To do so, log in, find the subject matter you want to close, and click Update and Close. Please note: Once you close a subject matter, you are no longer permitted to lobby about it.

A note to in-house lobbyists!

If you’ve registered a committee, you may need to update the committee details, as well. For example: If a committee met with a public office holder, you'll need to indicate the committee members who attended the meeting.

When to update your lobbyist registration

You must keep your registration complete, accurate and up-to-date.

  • If any information you entered under your lobbyist registration changes, you must update it within three business days. For senior officers, this includes the names and contact information of all your in-house lobbyists.
  • If nothing else changes, in-house lobbyists will at minimum need to update their fiscal year at least once a year.

To update your lobbyist registration, log in to the Registry using your user ID and password, and click Update. Confirm or change information as needed. For senior officers: If you need to change information about an already registered lobbyist, please click Edit beside the lobbyist’s name. To add or remove an in-house lobbyist, follow the prompts.

If you made a mistake in an update you submitted, you can cancel the change if it is still under review. To cancel the update, click Cancel Version. If the update has been processed, then you’ll need to make another update to correct the mistake.

Here are tips to keep in mind:

  • If you are adding, removing or changing a delegate, you need to download a new certification form, which should be signed and sent to us.
  • If you are appointing a new senior officer, select the “yes” option before entering the new information. You will also have to download a new certification form that should be signed and sent to us. You should also send us a letter (on official letterhead) that includes the new contact information. (Applies to in-house lobbyists only.)
  • If you are a consultant lobbyist and you change your contact information or switch companies, you’ll need to download a new certification form, which should be signed and sent to us. You should also send us a letter (on official letterhead) that includes your new contact information.
  • To close a lobbyist registration, click Update and Close. You will not be able to close your registration until you’ve closed all your subject matters.

Once you close your lobbyist registration, the account will be closed and you will not be able to lobby under that registration number.
