Meeting Minutes

1. Discussion of recommendation to merge Communications and Promotions & Development Sub-Committees.

Arguments against merge: agendas will be too long, meetings too long.

Arguments for merge: common tasks, overlap, resources too thin for 2 sub-committees.

Clay suggested merging the 2 committees, but alternating the focus of the meetings - 1 month would be primarily Communications, the next month primarily Promotions & Development. This was adopted.

Gillian and Jannette will be co-chairs of the new mega committee.

2. Appointment of interim/permanent co-chair for the Communications Sub-Committee.

Because of the merger discussed above, a co-chair for the Communications Sub-Committee is no longer needed.

3. Discussion of December 15th joint meeting for posters for the Bike Show.

A meeting for this purpose will take place Dec. 15 at Metro Hall at 6:30, room to be announced. This meeting will focus on what posters, brochures, maps, other items/activities to bring to the bike show to make the TCC booth interesting and useful for the cycling public. In past bike shows, the TCC booth has displayed posters, maps, a map on which people can draw where they would like bike lanes, handed out maps, Cyclometer, brochures, created awareness of TCC, and discussed Toronto cycling issues with the public. These and other ideas will be discussed at the Dec. 15 meeting.

4. Establish future meeting dates for Communications Sub-committee for 2000.

The next meeting will be a special meeting described in item 3, to discuss the Bike Show. Regular meetings will resume in January, 2000.

Meetings for the merged committees will be the Thursday after the TCC meeting.

March 23: Promotions

April 20: Communications

May 18: Promotions

June 22: Communications

July 20: Promotions

August 17: Communications

September 14: Promotions

October 12: Communications

5. Brainstorming for web site:

content and variations from print version of Cyclometer

links

changes from current site

The following ideas were proposed for the web site:

- TBN has good list of links - could we link to their site or use their links?

Ideas for web site content:

- Chicago has a good site, where the public can report pot holes, request post and ring, etc. Our web site could allow the public to:

- make suggestions for bike lanes

- request Can-Bike information

- apply to become TCC members

- complete surveys (e.g. Dan Egan's survey for the cycling master plan)

- ask bike-related questions

The Web site could inform the public about:

- TCC committee and subcommittee dates and places

- minutes and agendas of TCC committee and sub-committees - clerk's office will do this?

- rail/hydro corridor project

- reports (Coroner's, etc.) - links?

- map: link to city's GIS maps?

- survey results

- safety brochures produced by TCC

- Highway traffic regulations relating to bikes

- bike repair and maintenance tips

- archive of past articles and FAQ

The committee discussed what information do we want back from web site reader?

name, address, e-mail

their cycling issues/concerns

cycling questions

potholes fixing request, rings and posts request

application forms: Can-Bike, TCC when relevant

information for working groups e.g. what are your views on Spadina Ave.? (time limited requests)

The concern was raised about who would monitor incoming e-mail from site. Stephen Fisher is getting it now.

Priorities for the web site:

- getting the new issue of Cyclometer on the web

- GIS maps - rail/trail, paths: Don Sugdens is looking into this

- cycling master plan information

6. Update on Cyclometer from editing team.

The list of articles for the next issue is complete. The editing team is collecting and reviewing drafts of the articles. It is hoped this will be finished very shortly. Outstanding issues include can we mail Cyclometer and how do we get it onto the web. Hopefully, the first issue will be out before the end of the year.

7. Announcements/ New Business

Clay pointed out that the TCC is developing a large number of working groups in addition to the sub-committees, and it is becoming difficult to keep track of them and their contact people. He proposed that a one page info sheet listing the working groups and contacts be mailed with TCC minutes. Marleen drafted a list of the working groups.

Action Items:

Gillian: talk to Don Sugdens about getting reader input (e-mail and form-fillout) from the web site.

Gillian/Marleen: complete the list of working groups and contact people for the next TCC meeting.
