Before you can apply for City job opportunities, you must create a Candidate Profile on TalentFlow.

We recommend that you create a profile now, even if you are not applying for an opportunity. This will make it easier for you to apply for an opportunity when the time comes.

Important Notes:

  • Applications must be submitted prior to 11:59 pm (EST) on the day the posting closes.
  • Once submitted, applications cannot be changed or updated; and users are unable to reapply.
  • Users are responsible to maintain TalentFlow accounts with current contact information.

Your TalentFlow profile must match the name that appears on your resume/cover letter. Please do not apply on behalf of anyone else

  1. Click Register at the top of the Job Opportunities page
  2. Enter your email address and click ‘Continue’. Note: all confirmations and acknowledgements will be sent to this email address
  3. Fill in all the mandatory fields with red text and marked with an asterisk
  4. Complete the “getting to know you” survey
  5. Click “Submit Registration” at the bottom of the page
  6. You will now be prompted to complete four steps to set up your Personal Profile
You will only need to complete this registration process once but it is important that you record your username and password.  You will need this information to access your TalentFlow profile and apply for City of Toronto jobs. Do not share your username and password with anyone.

You must complete all four steps to create your Personal Profile and you must complete all mandatory fields, which are marked in red text and/or marked with an asterisk.

If you click on ‘Delete Profile’ at any point in the process, you will have to re-enter all of your information again.

Step 1: Contact Information, Education and Experience

  1. Enter email address in lower case letters
  2. Enter your education and experience
  3. When complete, click ‘Save and Continue’ at the bottom of the page

Keep your contact information up-to-date, including your mailing address, email, phone number and last name.

Step 2: Salary, Employment Type and Job Type Status

  1. Select Canada-Ontario-Toronto in the location field
  2. You can skip the salary expectations section because this information is not used for screening purposes. For your convenience, a default minimum salary expectation of $1 is provided
  3. Select the Employment Type and the Job Type Status (select all that apply)
  4. Select your employment eligibility status and your availability
  5. When complete, click ‘Save and Continue’ at the bottom of the page

Step 3: Adding a Resume

  1. Enter a title for your profile. Your profile title can be anything you like (for example, Accounting Assistant 1 or the Job ID) because it is for your reference only
  2. Select a Job Stream for your profile.
    • Click on the drop-down menu and select a job family that most represents the position you are applying for. The Job Stream is only used to categorize your resume for your reference. It will not restrict the jobs you are able to apply to
  3. There are three different ways you can attach your resume to your profile. You can:
    • upload your resume from a file (Microsoft Word is recommended)
    • use the “Resume Builder” to build a resume
    • type/copy and paste your resume in the ‘Resume’ text box
  4. You will be able to preview and edit your resume. Once it is finalized, click ‘Continue’.

Step 4: Core Skills and Job Positions Inventory

  1. Select at least one Core Skill from the drop-down menu and at least one Job Position. These are not used for screening purposes
  2. If none of the job positions options apply to you, select “Other”
  3. Enter the number of years that you used the skill and the number of years that you were in the position selected, respectively.
  4. Click on ‘Add More Skills’ if you have additional skills you would like to add
  5. To remove a core skill or job position selection, go to the remove column and place a check mark in the field you wish to remove
  6. Click ‘Save and Continue’ and the field will be removed
  7. When complete, click ‘Save and Continue’ at the bottom of the page

You will receive an on-screen thank you message and a confirmation email will be sent to your registered email address.

Tailor your resume and/or cover letter to the posting you are applying for. Read the posting carefully and pay attention to the key qualifications.

Modifying an Uploaded Resume

Click on the Edit link in the profile section of your Job Seeker Desktop. You can do this in the ‘Edit Professional Profile’ section.

  1. You can upload an updated resume from a file using the ‘File Manager’
  2. Click ‘Update’
  3. Click ‘Choose File’ and select the file you want to upload and click ‘Upload’
  4. Click ‘Return & Attach’
  5. Your resume may appear in the resume text field, depending on the format of your uploaded document. Do not modify your resume in the text field as the changes will not be reflected when you apply to a job. Your resume will be submitted exactly as it appeared when uploaded
  6. Click ‘Save and Continue’ and your resume will be displayed (please ignore any formatting issues)
  7. Click ‘Continue’
  8. The ‘Core Skills and Job Positions’ inventory will appear. You can make changes here or click ‘Save and Continue’ at the bottom of the screen

Modifying a Typed or Copy/Pasted Resume

Click on ‘Edit’ in the profile section of your ‘Job Seeker Desktop’ if you want to modify your existing resume. You can do this in the ‘Edit Professional Profile’ section.

  1. Modify your resume in the text box provided. Use the tools at the top of the text box to format your resume (for example, add bold or bullets). You can also cut and paste your resume from a Word document
  2. Once complete, click ‘Save and Continue’
  3. You will be able to preview and edit your resume. Once it is finalized, click ‘Continue’
  4. The ‘Core Skills and Job Positions’ inventory will appear. You can make changes here or click ‘Save and Continue’ at the bottom of the screen

Add a new Resume

Click on the ‘Add Additional Profile’ link in the profile section of your Job Seeker Desktop. This will take you to the Edit Professional Profile section. Enter a title for your Profile.

Uploading a Resume

  1. Click ‘File Manager’

  2. Once you have completed all applicable fields, click ‘Save and Continue’
  3. You will be able to preview and edit your resume. Once your resume is finalized, click ‘Continue’. You will be directed to Step 4 of the Professional Profile process

Type or Copy/Paste Resume

  1. You can type your resume into the text box provided. Use the tools at the top of the text box to format your resume (for example, add bold or bullets). You can also cut and paste your resume from a Word document.
  2. Once complete, click ‘Save and Continue’.
  3. You will be able to preview and edit your resume. Once it is finalized, click ‘Continue’.

Core Skills and Job Positions Inventory

  1. Select at least one Core Skill from the drop-down menu and at least one Job Position. These are not used for screening purposes
  2. If none of the job positions options apply to you, select “Other”
  3. Enter the number of years that you used the skill and the number of years that you were in the position selected, respectively.
  4. Click on ‘Add More Skills’ if you have additional skills you would like to add
  5. To remove a core skill or job position selection, go to the remove column and place a check mark in the field you wish to remove

Add a New Cover Letter

  1. Click ‘Add Additional Cover Letter’ in the cover letter section of your Job Seeker Desktop.
  2. Enter a title for your cover letter
  3. Click ‘Choose File’ and select the file you want to upload and click ‘Upload’
  4. Click ‘Save Cover Letter’

Modifying an Uploaded Cover Letter

  1. Click ‘Edit’ in the cover letter section of your Job Seeker Desktop
  2. Click ‘Choose File’ and select the file you want to upload and click ‘Re-Upload’
  3. Click ‘Save Cover Letter’

You can search and apply for jobs by logging into TalentFlow using the log in name and password you created during the registration process.

Search by Job Stream or Division

  1. Filter your search results using the two drop-down menus provided in the ‘Search Open Positions’
  2. Click the ‘Search’

Search by Keywords

  1. Enter a word in the keyword search text field
  2. Click ‘Search’

Jobs will be displayed based on your selected criteria. To view the details of a job posting, simply click on one of the Job Titles.

Setup Automatic Email Notifications – Job Search Agent

Create up to five Job Search Agents, which will automatically email you about new jobs that match your criteria.

  • On your Job Seeker Desktop, click ‘Job Search Agents’
  • Click ‘Add Job Search Agent’
  • Give the Job Search Agent a name
  • Select whether you want to search using a Keyword search or a Job Title search.
  • Complete the remaining optional information fields
  • Click ‘Save Search Agent’
  • View existing job search agents by clicking on their names or view jobs that match your search criteria by clicking ‘view’

You must submit your application before midnight on the job closing date.

  1. Click ‘Apply Online Now’ in the top or bottom right corner of the job posting
  2. Login to your TalentFlow account using your user name and password
  3. Confirm the job posting you are applying for
  4. Select a Profile to attach to your application. Your profile includes your resume and must be updated prior to submitting your application
  5. Select a Cover Letter
  6. Complete the Questionnaire
  7. Click ‘Preview Application’
  8. Review your application to ensure you have selected the correct Resume, Cover Letter and Questionnaire answers
  9. If you want to make changes to your application, click ‘Go Back and Update Application’. If you are ready to submit your application, click ‘Confirm and Submit Application’. An acknowledgement screen will appear and an email confirmation will be sent to your registered email address.

See what you submitted

Click ‘Application History’ to review the job posting, questionnaire and resume/cover letter you submitted. You cannot edit your application after it is submitted. 

We will only contact you if you are being considered for the position.

Update Your Personal Information

To edit your contact information, education, work experience, job location, salary, employment eligibility, availability or references:

  1. Click ‘Edit’ next to the appropriate selection
  2. Update as needed
  3. Click ‘Save and Continue’

Change Your TalentFlow Account Password

  1. Click ‘Edit’ next to ‘Edit Username and Password’
  2. Enter your old password
  3. Enter your new password and confirm password
  4. Click ‘Update’

Change Your Security Questions

Add new security question

  1. Click ‘Edit’ next to ‘Edit Security Question’
  2. Click on the drop-down menu next to the ‘Select the Security Question’
  3. Select a security question
  4. Input the answer to this Security Question
  5. Click ‘Update’

Update existing security question

  1. Click ‘Edit’ next to ‘Edit Security Question’
  2. Click on the drop-down menu next to the ‘Select the Security Question’
  3. Input the new answer to an existing Security Question
  4. Click ‘Update’

Delete Your TalentFlow Account

  1. Login to your TalentFlow account using your username and password
  2. Click ‘Edit’ next to the ‘Edit Username and Password’
  3. Click ‘Delete Account’
