Former City employees can access and view their HR, payroll or other records the City has via Freedom of Information (FOI) requests. FOI requests should be forwarded directly to the City Clerk's Corporate Access and Privacy (CAP) office.
Requests for written confirmation of past employment with the City of Toronto should be forwarded by email to pastemployment@toronto.ca. Former employees should include their date of birth, last and current mailing address, a brief summary of their past employment history or personnel (employee) number, if known. Employees should include their former municipality if they worked with the City prior to amalgamation. Requests for past employment confirmation should be submitted directly by the former employee.
Requests received from a third party (i.e. external agencies, etc.) must include valid consent forms signed by the former City of Toronto employee. Confirmation of past employment provided by Past Employment Confirmations is limited to verification of start/end dates, position(s) held while employed by the City of Toronto or its former municipalities.
Please note that confirmation of past employment will be issued as a letter on City of Toronto letterhead. External forms will not be filled out.
