Scheduling requests are for active recreation workers only. Employees who have not been in receipt of wages for the past 12 months, or are not on an approved leave of absence, must apply as a new applicant. Once registered for Self Service/Employee Remote Access (SS/ERA), you can submit your requests using Kronos Workforce Central (Kronos WFC). The system enables you to also view the status of your requests, receive shift offers and choose your method of contact.

When logging into SS/ERA, a second-factor verification code is required when signing in through an external (non City of Toronto networked) computer/device. This serves as a security measure to protect your information within the City network. If phone numbers are input for both voice and text messages priority will be given to text messages.

Seasonal Submission Details

Recreation Workers will have four scheduling submission periods per year. This better reflects seniority levels when scheduling decisions are being made and gives Recreation Workers more flexibility when submitting schedules.

Late submissions can be made until the last day of each season.

Spring 2026

The deadline for on-time submissions was Wednesday, January 7.

Summer 2026

The deadline for on-time submissions was Thursday, February 19.

Fall 2026

All active Recreation Workers will receive the following a letter containing your unique 12 character, alphanumeric, one-time registration code by mail.

All employees must use the unique one-time registration code to access the SS/ERA if they are registering from a non-City of Toronto networked computer.

Once registered, SS/ERA will enable you to immediately access Kronos WFC to view your current schedule and timecard reports.

Getting Started

Before you are ready, ensure you have the following items available:

  • Mail out package with one-time registration code
  • Social Insurance Number (SIN)
  • Birthdate
  • Postal code from the mail-out
  • Employee number (8 digits – add a zero in front if necessary)

If you do not have your unique registration code, you will need to email recworkerscheduling@toronto.ca for assistance. Please include your full name, employee number, phone number and home mailing address.

Technology Requirements

Access to both of the following required technologies to log in from a non-City of Toronto networked location:

  • A phone (either landline or cell phone)
  • A device with internet access (tablet, computer or smartphone with browser)

Browser

It is recommended to complete the registration process using a computer (Google Chrome browser) or tablet (IOS 10 or higher or Android 4.4.2.8 or higher). You may experience issues using a mobile phone.

Request Work from a City networked computer or device

To request work on the new system after you have registered for Employee Remote Access, start at page 15 and follow the step-by-step instructions.

Alternate Rate Continuous (ARC)

While on ARC, you will only be able to access Kronos from a City of Toronto networked computer.

For Recreation Workers on ARC, who have a role in Kronos (Scheduler, Timekeeper) and when working in their base as a Recreation Worker:

  1. Go to insideto.toronto.ca/pfr/etime.htm
  2. Click or tap on the button: Login for Approvers, Schedulers, Timekeepers & Divisional Payroll Staff
  3. Log in using your Novell ID and password

To access the Recreation Worker view:

  1. Click or tap the boxed + symbol located beside the  Scheduler tab near the top of the page
  2. In the dropdown menu, select My Information
  3. Select pop-out on the RW Work Request on ARC widget
  4. Submit requests

When your ARC ends, access Kronos using the How to Request Work instructions.

Changing your Phone Number

In order to change the phone number recorded within the Employee Remote Access system, you will need to either log in through an internally-networked computer (at a Community Centre), or by emailing recworkerscheduling@toronto.ca

Reset Your Password

If you forget your password after registration:

  1. Go to selfservice.toronto.ca.
  2. Select the link Click here to continue
  3. Select Forgot Password?
  4. Enter your employee number, including the required number of leading zeroes and select Search
  5. Answer the recovery questions and select Check Answers
  6. Select Change Password in the My Account section
  7. Enter a new password
  8. Select Change Password to apply the changes and to be logged out of the Self Service Password Reset site
  9. Go to selfservice.toronto.ca and enter your login credentials with your new password

If you forget any of your three recovery questions, contact the Technology Services Help Desk at 416-338-2255 between Monday and Friday, 6 a.m. to 7 p.m.

If you do not remember your passphrase when contacting Technology Services, contact recworkerscheduling@toronto.ca. Please include your first and last name, employee number, home mailing address including postal code and phone number.
