Learn how to register for and participate in the Shelter Management Information System (SMIS) training, as well as session dates.

 

How to Register

For WebEx online training please complete the SMIS registration form Word file. Submit the form in a Word document format to smistraining@toronto.ca. The emails contained in the registration forms will be used to invite participants, where they will register with their name and respective Agency.

How to Cancel

The Agency and/or individual must submit written notice of cancellation at least seven business days prior to the training date to smistraining@toronto.ca.

It is the responsibility of the Agency and/or individual to ensure that the cancellation has been received.

Alternate Attendee

If the registrant cannot attend, an email may be sent to smistraining@toronto.ca informing Toronto Shelter and Support Services that an alternate staff will be sent to the class.

Late arrivals of 15 minutes or more will not be allowed entry into the session, either in-person or WebEx, as this is very distracting to the other participants.

SMIS Web-Ex Requirements

SMIS Training is now being offered online utilizing the City’s Cisco Web-Ex platform. In order for Agency staff to better optimize the training experience, certain technical requirements are to be met.

  1. Bandwidth/Hardware Speed: As this will be delivered through Web-Ex, please ensure that invitees have the necessary bandwidth speed and PC/ notebook computing power to view the video training, as the experience will not be optimal if the feed is choppy and intermittent.
  2. Video Camera: While we cannot verify a name to a face, we do expect to have invitees make themselves visually available from time to time during the training session, through check-ins embedded in the Web-Ex environment.
  3. Mic/Headset/ Volume: The presentation may require two-way audio communication to the invitees through Q&A.
  4. Intermediate Computer Skills: Invitees require the necessary skills to navigate within the WebEx application. Temporary individual logins can be issued to gain access to the SMIS training site, which will allow them to navigate along with the trainer the different screens in SMIS, and if necessary to “share the screen” as well.

A dual monitor setup is also highly recommended. Invitees can follow along with the trainer on the first screen and on the second screen can input data into the training environment to get the “hands on” experience, as would an invitee attending in person training.

If any of the above needs cannot be met, in-person training for staff will be arranged in accordance with Covid-19 guidelines.

Once staff have completed training, the access manager or designate need to complete the SMIS User Access Request form and have the staff sign the SMIS user agreement.

Once completed, these forms are emailed to smishelp@toronto.ca.
